01

Secure access

Accept your invitation and sign in.

Open the single-use invitation link, create a password of at least 12 characters and complete email verification if prompted. Administrators and internal users also enrol an authenticator app and save their recovery codes.

Do thisStore recovery codes somewhere secure and separate from your password.
02

Project choice

Open the project assigned to you.

The home screen lists the projects you can access. Choose the right client and engagement before entering information. Administrators can create projects; other users see only work assigned to them.

Check firstConfirm the client, scope and dates shown at the top of the workspace.
03

Dashboard

Use the dashboard to decide what needs attention.

Review overall readiness, phase progress, open risks, outstanding actions and follow-up reminders. These are working indicators to guide the project; they are not a legal opinion or certification.

Best first moveOpen the earliest active phase with incomplete work.
04

Guided workflow

Work through tasks phase by phase.

Open a task, read its guidance and answer each question using facts from the relevant people. Record the current position, evidence reviewed, gaps, decisions, next actions and open questions. Assign an owner and due date.

If an answer is missingUse “Come back later” and record a reason, owner and reminder date.
05

Evidence library

Create evidence records and link them to work.

Add a clear title, type, owner, status, date and description. Link the record to the relevant task and add a file version when uploads are enabled. Editors submit evidence for review; authorised approvers verify or reject it.

Good evidenceIs current, owned, traceable and specific enough for another reviewer to understand.
06

Remediation and risk

Turn gaps into owned work.

Use the remediation board to move actions from backlog through progress to completion. Use the risk register for the risk, level, treatment, owner and status. Keep both current as evidence or decisions change.

Keep it usableEvery open action and material risk should have one accountable owner and a review date.
07

Project plan and audit

Review dates, follow-ups and history.

The project plan brings tasks, owners, due dates and reminders together. The audit trail records important project activity. Use both before a review meeting to find overdue work and understand what changed.

Weekly habitReview overdue items, unresolved follow-ups and recent decisions with the project owner.
08

Reports and export

Review the result before sharing it.

Choose the appropriate report, check the scope, evidence status, risks and captured answers, then generate or download the pack. Use Export data for a structured backup. Submit capture only when the project is ready for the AI Act Ready review process.

Final checkResolve obvious gaps and confirm that customer-facing wording is accurate before distribution.

Frequently asked questions

Quick answers when you get stuck.

For account or project access problems, contact your AI Act Ready project lead.

Does my work save automatically?

Yes. Changes save to your secure project workspace after you edit a record. Wait briefly before closing the browser after a final change.

What if I cannot answer a workflow question?

Record what is known, state the gap or uncertainty, then assign a follow-up owner and date. Find it again in the project plan.

Who can verify evidence?

Editors can add evidence and submit it for review. Verification or rejection is restricted to users with the appropriate approval permission.

How do I recover a forgotten password?

Select Forgot password? on the sign-in page. If an active account matches, you will receive a single-use recovery link.

What if my authenticator code does not work?

Check that your device time is set automatically, then try the current six-digit code. You can also use one saved recovery code. Contact your administrator if both routes fail.

Can I use customer or sensitive information?

Use only information authorised for the project and follow your organisation’s handling rules. Do not upload secrets or unnecessary personal data.

Does the platform certify EU AI Act or ISO 42001 compliance?

No. It supports structured governance and evidence preparation. Your organisation retains responsibility for decisions, and specialist legal or certification advice may still be required.
